We ask for your name, your work email address and for information describing what you need from us. You may tell us your phone number too.

Who is collecting it?

All forms filled in on the website are sent to one email address within Academy ICT. That is monitored by a single director.

We may from time to time use a call answering service provided by answer.co.uk who store details of phone calls on their systems and then pass the details of that message to us. That message inlcuded your name and your number.

Only one Director can access that information. It is used to call you back and then deleted.

How is it collected?

We ask you to fill in forms on the website, email us, or call us. These are the only ways we gather your information

How will it be used?

We will use the data you pass us to directly respond to the issue you have raised with us and nothing more. If you then become a client of ours, we will store relevant data so that we can effectively trade with you.

Data is stored in our cloud service providers systems. The only data that is stored locally would be in physical format and that is under lock and key, with access to that storage logged by a director.

Accounts / finance data is stored in the cloud with our accounts software provider. If you wish to know how they handle your data please write to us and request it. We are not trying to make this hard for you to get, we are masking the name of our accounts package for total security.

Copies of orders and invoices are stored in our OneDrive storage facility for 6 years in line with current UK laws. This paperwork is unlikely to have your personal data on it unless your name was used as a reference on an order and then subsequent invoice. We advise against such references but if you insist it will be used.

Who will it be shared with?

Data will be shared internally with any staff that need such data to carry out the work you have asked us to do. Data will also be shared with external parties to allow them to carry out their duties in accordance to what you have asked us to do for you. For example, the manufacturer may need your name and number so as to call you. We will always ask you first before sharing that data.

Visitors to our websites

When someone visits academyict.com we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be upfront about this. We will make it clear when we collect personal information and will explain what we intend to do with it. If we ask you for your contact details it is so we can contact you about the matter you have contacted us about and nothing more.

Use of cookies

Cookies are small text files that are placed on your computer by websites that you visit. They are widely used in order to make websites work, or work more efficiently, as well as to provide information to the owners of the site. Academy ICT does not monitor cookies.

E-newsletter

As of February 2018 we have no e-letter.

People who contact us via social media

If you send us a private or direct message via social media the message will be stored for as long as it is required to fulfil the reason you contacted us about.

That message will then be deleted. We will not share it with any other organisations.

People who call us

When you call Academy ICT we collect information from you that is directly relevant to the purpose of the call. We use this information to help improve efficiency and effectiveness in relation to the reason you called us.

People who email us

We use Microsoft Office 365 cloud services to encrypt and protect email traffic in line with the law. If your email service is not protected, you should be aware that any emails we send or receive may not be protected in transit.

We will also monitor any emails sent to us, including file attachments, for viruses or malicious software. Please be aware that you have a responsibility to ensure that any email you send is within the bounds of the law.

People who use our LiveChat service

We use a third party provider, to supply and support our LiveChat service, which we use to handle customer enquiries in real time.

If you use the LiveChat service we will collect your name, email address (optional) and the contents of your LiveChat session. This information will be retained for a timeperiod that is relevant to your call and for no more than 2 years and will not be shared with any other organisations.

You can request a transcript of your LiveChat session if you provide your email address at the start of your session or when prompted at the end.
